Booking Terms

Please read through the following booking conditions carefully. It is the responsibility of the person making the booking (‘the Party Leader’) to ensure that every member of the party has read and fully understood all the booking conditions.

The booking conditions as below apply to all bookings at Hotel Sunnyside.

YOUR CONTRACT

(1a) Our acceptance of your deposit or full balance payment forms a contract between Hotel Sunnyside and the Party Leader acting on behalf of all persons in the party. You are deemed to accept these booking conditions. No other conditions will apply to this contract unless confirmed by us to you in writing.

(1b) When making a booking you will be required to submit details of yourself and confirm that you have accepted the booking conditions on behalf of all persons in the party. You will also be responsible for the full payment of the holiday booked. We will send all correspondence to you and will consider you responsible for keeping all party members informed. We cannot discuss the booking or enter into communication with any other member of the booking or 3rd party.

(1c) At least 4 weeks prior to arrival you will be required to submit details of all the members of your party. You can only do this via the online booking form function on our website.

(1d) In the booking conditions, ‘the Company’, ‘we’, and ‘us’ refers to Hotel Sunnyside and ‘you’ refers to the Party Leader.

BOOKING, PRICES, AND PAYMENT

(2a) At the time of booking you are requested to make either a deposit or a full balance payment. The deposit payment is £50 per room.

(2b) A £5 booking fee is applicable on all bookings and is payable with the initial payment.

(2c) After the deposit payment has been made to confirm that booking, the balance becomes due at least 4 weeks prior to arrival.

(2d) If the balance is not paid in full before the 4 week deadline, the booking will be terminated with the loss of the deposit and booking fee.

(2e) Any booking made within 4 weeks of the start of your stay must be paid for in full at the time of booking.

(2f) All deposits and booking fees paid are non-refundable and non-transferable. We recommend that personal holiday insurance is taken out to cover any cancellations.

(2g) On receipt of your initial payment we will send you a booking acknowledgement via email. This will note the details of your booking and also act as an invoice for any outstanding balance. If any details are incorrect you must advise us within 7 days. We cannot accept responsibility for any errors concerning your reservation after this time.

(2h) In order to qualify for a particular offer, you must send proof of status (i.e. copy of NUS card) and quote the applicable offer code.

(2i) We reserve the right to periodically review our room prices. Any increase in prices will be advertised accordingly. All prices quoted are inclusive of VAT.

(2j) We can only accept one credit/debit card transaction or one cheque per booking.

(2k) We accept payment through credit/debit card or by cheque. We accept Visa, Visa Electron, MasterCard, and Switch/Maestro. Please do not send cash through the post as a form of payment.

(2l) We respectively request a credit/debit card pre-authorisation from all guests on arrival as a measure of security.

(2m) In the event of malicious, willful, or negligent room or other property damage, we will charge the applicable amount of loss sustained by Hotel Sunnyside, including business interruption losses, to the registered credit/debit card. Should any problems be encountered when debiting the card, we will pursue the matter through the civil courts.

(2n) Whilst we endeavour to accommodate all special requests, we cannot issue any guarantees.

(2o) Should you need a room for persons with special requirements, please contact us at your earliest opportunity.

(2p) All persons under the age of 18 who will be unaccompanied by an adult or legal guardian must obtain prior permission of the management before booking. All such bookings will be subject to an additional set of booking conditions. Please contact us for details.

(2q) All groups and all male/all female parties will be subject to a Security Bond (see section 3).

(2r) We cannot be held responsible in the event that certain activities are cancelled or made unavailable due to weather conditions or circumstances beyond our control. Under these circumstances we will contact you at the earliest opportunity to make the necessary arrangements. Alternative activities will be offered to replace the cancelled activity.

GROUP BOOKINGS

(3a) Whilst we welcome group bookings, we ask you to respect fellow guests and to remember that we are a family friendly hotel. We pay particular attention to noise and do expect noise to be kept to a reasonable level after 10pm. Naturally, we want you to have an enjoyable holiday, however, this cannot be at the expense of anyone else.

(3b) For all group bookings, we must receive a completed rooming list at least two weeks prior to arrival. A rooming list form will be sent to you with your initial booking confirmation and again with your final payment acknowledgement. Should we not receive your rooming list by this time, we reserve the right to delay your check-in until such time all details have been provided.

(3c) For all group and single sex bookings, an additional bond of £50 per room (single rooms) / £100 per room (bunk/twin/double rooms) / £200 per room (group rooms) is payable on arrival.

(3d) This Security Bond will be taken via a credit/debit card pre-authorisation. This process will not debit your account but the funds will be held for us by your card issuer until such time as we instruct a cancellation. The applicable amount will therefore be made unavailable to you during your stay. We can only accept one credit/debit card pre-authorisation per booking. We cannot accept cash or a cheque. Please be aware that your card issuer may take several days to make the funds available to you after we instruct the cancellation.

(3e) The Security Bond will be cancelled on the day of departure providing management has had no cause for complaint during your stay and that your room has been left in a presentable condition.

(3f) The Security Bond is only cancelled once every member of the party has vacated the hotel. We reserve the right to check all booked rooms before canceling the Security Bond.

(3g) Whilst staying at Hotel Sunnyside we kindly ask that you respect your fellow guests, hotel staff, hotel property, and all 3rd parties. Should we deem it necessary to ask a guest to leave the hotel, his/her party will forgo the Security Bond and room charges paid. In the unlikely event that a guest is asked to leave, all fellow members of his/her party will be asked to leave (with the loss of the bond and room charges) along with that particular individual.

(3h) The Party Leader will be held responsible for any damage to rooms booked under his/her name. Any breakages must be reported and paid for within 24 hours.

(3i) In the event of malicious, willful, or negligent room or other property damage over the Security Bond amount, we will charge the applicable amount of loss sustained by Hotel Sunnyside, including business interruption losses, to the registered credit/debit card. Should any problems be encountered when debiting the card, we will pursue the matter through the civil courts.

WHILST STAYING AT HOTEL SUNNYSIDE

(4a) Check-in time is 3pm. Unfortunately, we cannot guarantee that any rooms will be available before this time. We recommend you make your travel arrangements accordingly.

(4b) Check-out time is 10am. We kindly ask that you vacate your room by this time or you will incur an additional charge:

10am-11am: 25% of the room rate

11am-12pm: 50% of the room rate

After 12pm: Full room rate

(4c) Only those named on the booking form may stay at Hotel Sunnyside. We can only accommodate those registered to stay with us. Visitors may use our bar and restaurant but are strictly prohibited from entering any of the bedrooms or using any other hotel facility.

(4d) All bookings are made in good faith. In the unlikely event that your booked room is made unavailable, we will endeavor to find alternative accommodation nearby at a price and a standard similar to Hotel Sunnyside. In this instance, all monies will be refunded with immediate effect. You will be responsible for paying for all charges for the alternative accommodation provided.

(4e) Whilst we do have our own dedicated car park, spaces are limited and available strictly on a first come, first served basis. Alternative parking is available nearby in both residential areas and public car parks. The Company cannot guarantee parking spaces and does not accept the provision of parking facilities as a contractual part of any booking. Parking in our car park is complimentary to hotel guests.

(4f) All persons leaving a vehicle in the hotel car park will need to register it at check-in. All unregistered vehicles found will be issued with a parking ticket. This service is carried out by a 3rd party and Hotel Sunnyside will have no control over its operation.

(4g) The Company shall not be held liable in the event that accommodation, services, or any advertised activity is not available due to circumstances beyond its control.

(4h) Management reserve the right to enter any room at any time, whether the room is occupied or not.

(4i) You use the hotel and its facilities at your own risk. The Company cannot accept liability for the loss or damage in respect of your personal possessions or vehicle.

(4j) Hotel Sunnyside is a non-smoking establishment. A smoking area is provided for guests on the hotel terrace.

(4k) All bunk beds are 80 inches (6½ foot) in length.

(4l) A daily maid service is provided for all single, twin, double, and family rooms as standard. An optional daily maid service is provided for bunk and group rooms from 10am until 12 midday. Guests in bunk and group rooms must notify reception before 8pm the previous day should they wish to have their room serviced.

IF YOU CHANGE OR CANCEL YOUR BOOKING

(5a) Any major alteration or amendment to a booking (i.e. change of dates) after the initial booking acknowledgement has been issued will be subject to a £10 administration charge. All notification of changes to your booking must come from the Party Leader in writing from his/her registered email account.

(5b) We must be notified of any minor amendment (i.e. change of address or party members) at your very earliest convenience. There will be no charge for minor amendments.

(5c) Should you arrive at Hotel Sunnyside without informing us of a change to your booking, your booking may be terminated with loss of all monies paid. Should anyone arrive with your party who is not detailed on your booking form, he/she will not be able to stay.

(5d) If, for any reason, you wish to cancel your booking, the Party Leader must inform us in writing from his/her registered email account. We cannot accept a cancellation by any other means.

(5e) If you have made a full balance payment and cancel with more than 4 weeks notice, the amount paid less the deposit and booking fee will be refunded immediately once we have received written notification of your cancellation. In the event you have taken advantage of a special offer and have made a full balance payment, the terms and conditions of that particular offer will determine whether any refunds are available.

(5f) Should you cancel your booking with less than 4 weeks notice, once the balance payment has been made, we regret that no refund is available.

(5g) In certain circumstances, you may be entitled to a full refund. These include: illness (either to yourself or a family member), death, or in the event of an unexpected posting or cancellation of leave by HM Forces. A substantiating certificate will have to be produced in all cases. We will not issue a full refund for any other reason.

(5h) Should you decide to leave Hotel Sunnyside before the booked departure date for any reason, no refund will be available for the remaining night(s).

(5i) Should you be forced to cancel a room within a group booking, the same booking conditions will apply and no refunds will be available for that particular room. All deposits paid are strictly non-transferable.

IS THERE ANY WAY MY BOOKING CAN BE TERMINATED?

(6a) The Company reserves the right to terminate without notice the booking of any customer whose behavior is such that it is likely, in our reasonable opinion, to cause distress, damage, or annoyance to any other customer, employee, 3rd party, or to hotel property.

(6b) When making a booking at Hotel Sunnyside, we require a completed booking form to be submitted via our website at least 4 weeks prior to arrival. Failure to adhere to this request may lead to a cancellation of the booking.

(6c) If you fail to make a full balance payment before the 4 week deadline, your booking will be cancelled immediately. We will send you one reminder via email 6 weeks prior to arrival. You will not receive any further payment reminders.

COMPLAINT PROCEDURE

(7a) We always aim to provide you with the best stay possible. However, in the unlikely event that a problem should arise we kindly ask that the Party Leader informs us immediately. By following this procedure you will enable us to deal with the situation effectively and promptly. We welcome your feedback in order to improve our service, but we kindly request that this is directed through the correct channels in an appropriate, constructive manner. Should you have any issues regarding our service or facilities whilst at Hotel Sunnyside, the Duty Manager will be available to assist you.

(7b) We regret that we cannot accept liability for any complaints after you have left Hotel Sunnyside.

DATA PROTECTION

(8a) We will retain your personal information which you provide on your booking form. This information will not be passed on to any 3rd parties, other than when required by law.
